Why ERP Integration Is the Make-or-Break Decision

Your AR automation platform is only as good as the data feeding it. Customer records, invoice data, payment history, credit limits, account status — all of this lives in your ERP. If the connection between your ERP and your AR platform is unreliable, slow, or incomplete, your automation will produce unreliable, slow, or incomplete results.

ERP integration is not a technical footnote in an AR automation project. It is the foundation. And it is where most implementations run into trouble.

The Three Ways to Connect Your ERP to Your AR Platform

1. Native API Integration Many modern ERP systems offer native APIs that allow direct, real-time data exchange. If your ERP provider supports a native API for your AR platform, this is usually your best option.

2. Middleware/ETL Tools Middleware platforms like Zapier, Integration.io, or custom ETL solutions sit between your ERP and your AR platform, translating data in both directions.

**Pros:** Works with any ERP, flexible mapping, sometimes easier to set up than native APIs **Cons:** Adds another system to maintain, potential latency, additional cost

3. Manual Export/Import CSV exports from your ERP, manually updated, then imported to your AR platform. This is common in implementations with older ERP systems or limited technical resources.

**Pros:** Works with any ERP, no technical setup required **Cons:** Slow, error-prone, not real-time, requires constant manual intervention

Most finance teams start with option 3 and curse themselves for not investing in option 1 six months later.

The Data Sync Problem Nobody Mentions

Here's the thing that implementations teams don't always emphasise up front: getting data from your ERP to your AR platform is one thing. Keeping it in sync is another.

When you make a credit limit change in your ERP, does your AR platform see it immediately? When a payment is applied in your AR platform, does it flow back to your ERP? When a customer is flagged as high-risk in your ERP, does your AR platform know not to extend further credit?

These are not trivial questions. In many implementations, they are only discovered — and only answered with workarounds — after go-live.

The Questions to Ask Before You Sign

1. **How often does data sync?** Real-time, hourly, daily, weekly? The answer affects how stale your AR data becomes.

2. **What happens when a sync fails?** Is there an alert? A rollback? Manual recovery? An implementation without a clear failure-recovery protocol is an implementation waiting to break.

3. **Which direction does data flow?** ERP to AR only? Bi-directional? Partial bi-directional? The answer determines whether your AR platform is a read-only reporting system or a true operational system.

4. **What data actually syncs?** Not all data in your ERP is relevant to your AR platform. Get a specific list of which fields sync, which don't, and why.

5. **How is data transformed?** ERP data formats don't always match AR platform data formats. Understand the transformation rules — and the gotchas.

6. **What happens to historical data?** When you go live, do you get historical customer payment data, credit history, and outstanding invoices? Or does your AR platform start from Day 1 with no history?

7. **Who owns the integration?** Is it your responsibility to maintain, or the vendor's? If something breaks, who fixes it and in what timeframe?

The Implementation Timeline Reality

Most ERP integration projects run 8-16 weeks longer than initially estimated. The reasons vary, but they usually boil down to: your data is messier than you thought, the API documentation is incomplete, your ERP customisations break things, or requirements change during implementation.

Budget accordingly. And don't go live until data integrity is verified.

The Bottom Line

ERP integration is the difference between an AR automation project that delivers value and one that disappoints. Get it right from the start. Ask tough questions before you commit. And understand that integration is not a one-time project — it's an ongoing operational responsibility.

Your data is only as good as your integration. And your AR automation is only as good as your data.
